What Hear Hear keeps, why, for how long, and how to delete it.
Last updated 5 November 2026
The short version
Hosts sign in; guests give a first name and whatever they choose to send. We use it to make the event and its keepsake, and for nothing else. We don't sell it, we don't show ads, and everything is deleted on the schedule below. Anyone with a keepsake's link can open it.
Who runs it
Hear Hear is run by Empyreal Enterprise Pty Ltd (ABN 20 660 950 541), 7 Hoskins Rd, Landsdale WA 6065, Australia, trading as Empyreal Games.
What a host gives us
An email address, or a Google or Apple sign-in, so you can come back to your events. The event's setup: who it is about, the occasion, the date, your Basics answers and the questions you write. The email addresses of anyone you invite as a co-organiser, used only to send the invite. A record of what you paid for and any credits.
What a guest gives us
A first name, and what they choose to send: memories, photos with their details, voice notes, toasts. Their browser keeps a token for that event so they stay the same guest when they come back. Guests have no account, and we never ask them for an email or a phone number.
The person it's about
If the host sends them one, the honouree answers the Basics through a private link. That link reads and writes the Basics only, and never shows what anyone sent in.
Photos
Location and camera data are stripped from every photo before it is stored. A photo is used in its event and on its keepsake, never in another event.
The keepsake
Anyone with the link can open the keepsake and save everything on it. It isn't listed in search engines, and the host can take anything off it or delete it at any time.
AI
On a paid event, Google's Gemini, through Google's paid API, writes and checks the questions. For that it is given the honouree's name, the occasion, the tone and the crowd, the host's setup and Basics answers, and what guests send. It is sent for that event only, never cached and never reused for another event.
Payments
Payments go through Stripe. Your card number goes straight to Stripe and never reaches us. Stripe keeps the record of each payment, as tax law requires. Our own record of what an event was paid with goes when the event is deleted; our record of your credits belongs to your account and goes when the account is deleted.
IP addresses
Like any website, Hear Hear sees the IP address of each phone or computer that uses it, and uses it to limit how often requests can be made. When a guest reports a contribution, the report keeps their address only as a keyed hash, so the same address can't report it twice, and reports are deleted after a year.
This site's analytics
This site counts visits with Umami at analytics.empyreal.au, on our own server. It sets no cookies, counts pages and clicks, and collects no personal data.
The app's analytics
The app uses the same Umami, also without cookies. It counts which kind of page was opened, never the event's link, a name or anything a guest wrote, and counts things like events set up and contributions sent, by kind.
How long things are kept
| What | How long |
|---|---|
| A free event and everything sent to it | 60 days after its date, or after the last thing sent or changed if that is later |
| A paid event, its contributions and keepsake | A year after the later of the event and the last time anyone opened the keepsake |
| Reports of a contribution | Up to a year |
| A custom link after it is changed or the event deleted | Held 180 days so it cannot be reused for someone else |
| An unused credit | Until it is spent or the account is deleted |
| An account | Until it is deleted; deleting it deletes every event it owns and its unused credits |
| Payment records | Kept by Stripe as tax law requires; ours go when the event or the account is deleted |
Deleting things
Any organiser can remove anything sent to an event, and a guest can delete what they sent. The owner can delete an event, or the whole account, from hearhear.to/account. Deleting an event deletes it and its keepsake for everyone at once. Deleting an account deletes every event it owns and their keepsakes for everyone, and its unused credits go with it. To have anything else deleted, write to us.
Age
Hosts must be 18 or over. Guests don't make an account; the host is responsible for who they invite.
Where it is held and sent
Hear Hear's data is held on servers in Helsinki, Finland. Google, to write and check the questions, and Stripe, for payments, may also handle it outside Australia.
Changes
When this page changes, the date at the top changes with it.
